Now seeking board members for the 2023 season!

 

Board members can expect to commit to around 3-4 meetings/year (none during the market season) and, depending on how full the board is, attendance at 2-3 markets/summer.

Join us for our Annual General Meeting on Thursday, April 13th, at 7 p.m. at the Northern Life Museum and Cultural Centre.

Board Member Responsibilities

  • Attend all board meetings.  It is encouraged to attend all meetings to the best of each person's capabilities.

  • Contribute their time.  Each board member’s average number of hours commitment depends on how many other board members there are. In an average year, you can expect to spend between 18 and 20 hours on Board-related duties. This includes attending 3-4 markets/season and approximately eight hours throughout the off-season in meetings and attending outreach events.

  • Contribute personal and/or professional skills to the DFM as per the organization's strategic needs.

  • Engage in community outreach at least once per year.  Examples of outreach include attending local events to promote membership, DFM market awareness, and encouraging volunteers to sign up for the next DFM season.

  • Continually engage in recruiting volunteers or directors and/or fundraising for monetary and in-kind donations.

  • Engage in special projects and/or committee work as needed.

  • President

    Function: Responsible for ensuring that the Board fulfills its responsibilities to the organization according to the by-laws and policies.

    Creates meeting agendas;

    Officiates all board and executive committee meetings;

    In the absence of the secretary, assigns a member to the role for the meeting;

    Calls special meetings as needed;

    May act as the official face of the DFM Board on matters of concern to the Board;

    Under the direction of the Board, fosters relationships and partnerships with local organizations including local businesses, organizations, and NGOs within Fort Smith as well as with the Town of Fort Smith for market events, activities and programming;

    On the direction of the Board may solicit business sponsorships;

    Responsible for general management and supervision of the affairs and operations of the DFM Society.

  • Vice President

    Function: Stand in for the president if he/she is unavailable.

    Understand the responsibilities of the board chair and be able to perform these duties in the chair’s absence;

    Works with the Volunteer Market Coordinator to ensure smooth operation;

    Responsible for social media communications, weekly vendor emails and invitations, Facebook maintenance, and special communications;

    Collects and documents weekly Market statistics from the vendor sales and the participant attendees.

  • Treasurer

    Function: Assure that the organization is following appropriate financial policies.

    Understand regulatory and legal requirements for financial accounting and standards of practice for nonprofit organizations;

    Assure that accurate financial records for the organization are being kept and conform to the organization’s accounting policies;

    Maintaining financial records and updating the Board on the status at each meeting;

    Present financial summary at the annual general meeting.

  • Secretary

    Function: Maintain all board records and ensure their accuracy and safe.

    Work with the President to create Board meeting agendas;

    Take minutes at each meeting and send minutes out after each meeting;

    Keep agendas and minutes organized, accessible and in a safe place.

  • Market/Volunteer Coordinator

    Function: recruits and organizes potential vendors and volunteers for the DFM.

    Solicits potential participants for the Market at various public events;

    Organizes the volunteer schedule for the seasonal DFM;

    Communicates the schedule to the volunteers and Board members;

    Follows up schedule through phone calls and email reminders;

    Works closely with the Vice President regarding the coordination of the volunteer schedule calendar and volunteer contact information.

  • Member at large

    Duties where and when needed, attend 3-4 markets/season.
